What we built

We developed an Excel finance workbook for a flexible PVC window manufacturer. One file combines orders, expenses and period summaries: staff enter source data manually, while formulas calculate payments received, outstanding balances and financial totals.

01

Client task and starting point

The client needed a clear workbook for daily tracking of order prices and area, advance and final payments, and manufacturing expenses.

It had to calculate payment and outstanding balances for each order, income, expenses and net profit for a selected period, while staying usable for staff without specialist Excel knowledge.

02

What was implemented

Three linked Excel sections — Orders, Expenses and Statistics — combine manual data entry with automatic calculations of payments, balances and financial totals.

  • Orders: price and area, advance and final payments, actual payment dates, methods and payment statuses.
  • Automatic calculations of money actually received, outstanding balance and overall payment status: unpaid, partially paid or fully paid.
  • Expenses: date, category, supplier, employee or purpose, amount and comment.
  • Statistics: start and end dates, order count and area, payments received, expenses and net profit. Leaving the dates empty shows all-time totals.
  • Dropdown lists for payment statuses, payment methods and expense categories, filters and visual highlighting of paid orders and outstanding balances.
  • Protected formula cells and automatic inclusion of new rows through Excel tables.

How the solution works

  1. 01

    New order

A staff member adds a row in Orders and manually enters the date, reference, area, price and other source information.

  2. 02

    Payment received

When an advance or final payment arrives, staff enter the amount, actual date, status and method. Excel recalculates received payments, the outstanding balance and the overall order status.

  3. 03

    Expense entry

Staff enter the date, category, recipient or purpose and amount of each manufacturing expense in Expenses.

  4. 04

    Period totals

In Statistics, staff select two dates to see order, payment, expense and net profit totals. Empty dates show totals for all time.

04

Technical logic and integrations

Order, payment and expense inputs are entered manually. The workbook uses no macros or external integrations.

Order count and area use the order date; received payments use actual dates of confirmed advance and final payments; expenses use the expense date.

Formulas calculate outstanding balances and financial totals. Excel tables include added rows in calculations, while protected cells help preserve formulas.

Business value

Completed in September 2026, the project provides one Excel workbook for daily manufacturing finance records.

Automatic calculations from manually entered data replace adding up payments, balances, expenses and net profit by hand.

Staff can see paid orders and outstanding balances, money actually received, expenses and net profit for a selected period.
